Bookkeeping, dispatch support, office help and many consulting services repeat every month. A retainer bills a set amount for an agreed scope, usually at the start of the month.
Set the number
Start from the hours the work usually takes, times your rate. A small discount for the commitment is common, but keep it small.
Write down the scope
- What is included, and roughly how many hours.
- What happens over the hours: billed at your rate, or reviewed together.
- Whether unused hours roll over (usually they do not).
- Payment date, and the notice to change or end it.
Review it every quarter
Compare the hours actually spent with the retainer. Adjust before it becomes unprofitable.
