Recording how each client wants to be contacted

Some clients answer texts at night, some only speak Spanish, some cannot take calls at work. Writing it down once saves missed calls and frustration.

Clients are easier to reach, and happier, when the firm contacts them the way they prefer. Counsel sets what may be sent by text or email; staff record each client's preferences.

For each client, note

  • Preferred language and whether an interpreter is needed.
  • Best method: call, text, email, WhatsApp.
  • Best days and times.
  • Whether it is OK to leave a voicemail or text, and on which number.
  • A backup contact the client has approved, if any.

Respect privacy

Some clients share a phone or an email. Confirm what is safe before sending anything about the case.

Our client contact preferences list keeps it in one place.
