Translations in a case file: when they need to be certified

Records, letters and messages in Spanish or another language often need an English translation before they can be used. Planning for it early avoids delays and surprise costs.

In Florida and across the country, many case files include documents in languages other than English: medical records from abroad, text messages, letters, contracts and recorded statements. Counsel decides which ones need translation and what kind.

Working translation or certified translation

A working translation helps the team understand a document. A certified translation comes with a signed statement from the translator that it is complete and accurate, and is often what is needed when a translation will be filed or used as evidence. Requirements vary, so counsel decides which is needed.

Getting a good translation

  • Send clear, complete copies, numbered, so nothing is missed.
  • Tell the translator the purpose and the deadline.
  • Ask for the translation to keep the layout of the original where possible.
  • Keep the original, the translation and the certification together in the file.

Interpreters are different

Interpreters work with spoken language, at depositions, meetings and hearings. Book them early, and confirm the language and dialect.
