Car hauler damage claims: document every vehicle, every time

When a customer reports damage, the inspection at pickup decides the outcome. Here is how car haulers protect themselves with a few minutes per car.

Vehicles arrive with scratches, dents and chips that nobody noticed until delivery. Without a clear record of the car's condition at pickup, the carrier often pays for damage it did not cause.

At pickup

  • Walk around the vehicle in good light and note every mark on the inspection report, with its location.
  • Take dated photos of all four sides, the roof, bumpers, wheels, the interior and the odometer.
  • Have the shipper or their representative sign the inspection report.

At delivery

  • Inspect again with the receiver before they sign.
  • Note any new damage on the report and photograph it.
  • Get the receiver's signature and name, with the date and time.

When a claim comes in

Gather the pickup and delivery reports and photos, the bill of lading and any messages with the customer, and send them to your insurer promptly. The insurer decides the claim; your documentation is what it decides on.

Make it a habit

An inspection app or a printed checklist, used the same way on every car, is the best protection a car hauler has. Our vehicle inspection checklist covers every point.
